r u mad, recipe for disaster mate!
if you must:
1. Find out budget
2. Confirm date and time
3. Confirm guest list
4. Give people enough time to plan to attend & send confirmation (don;t want loads of no shows)
5. If venue is not in office, ring round potential venues for avialaibility and cost (see no 1), and if they do catering orallow outside caterers (many venues insit you have to use them, which ups the cost)
6. Ensure on invitations that people are able to repsond and give you any special requirents e.g. disability access, childminders/creche', ditary (food allegies, vegetarian, halal etc). I generally arrange all catering as halal, with lots of veggie stuff and no peanut.common allergy ingredients (if possible). Presumably your organisation has a range of caterers you usually use if "in-house/office".
7. Book venue, whether this be outside venue or office (you may need to ensure security on, can get in, not already booked out etc, etc).
8. Once you no the numbers etc do a risk assessment on event (health and safety , insurance issues,etc)
9. Book the catering (including coffess, juice, water and other refreshments)
10. Respond to confirmations with a thanks for accepting our invitation, with remider of details.
11. be wary of having too much alcahol (if it all) could be aformentioned recipe for disaster. If daytime can get aways with totally non-alcaholic (at a pinch)! e.g. Tea dance, fruit punches etc, if evening, alchalol will be expected (have a good range of non-alcaholic drinks for drivers and those on the 12 steps! Also ensure that named drivers are identified and car keys habded in when arrive, can then ensure that people who have had too much to drink don;t try to drive home)!,If you have an account with a Taxi Firm this will be uesful.
12. Remind all staff prior to event about codes of behaviour(see above)!
13. Ensure that you have the requisite digital camera or whatever to record for posterity/publicity.
14. Double check all arrangements made, and ensure any necessary deposits etc are piad on time.
15. Ensure on the day that people are advised on fire exit proceudre, where toilets are etc..
16. Do you need any entertainment, if so identify what is appropriate and book.
17. Ensure you have a schedule for the day e.g. arrive and reception @ 12:30 to 1:00, Welcome and speeches at whatever time, buffet or meal at whatever time, entertainment, etc, etc.
18. Dependent upon what event for could have a Family Friendly Fun Day type of event.
You may need causal help to help at event (if outaide caterer they may be providing) e.g. cleaners, waiting staff, car valets, child minders etc.
