Listen. Don't interrupt, even if you disagree, let them get their gripes out into the open.
Apologize. But do not accept responsibility of the situation, as that could get your company into trouble, apologize that the situation has occurred, for example "I'm sorry that this has happened" or "I'm sorry that that you feel upset"
Solve. Suggest a way out that your company would be OK with. if its still not OK than as a last resort ask the customer for a reasonable solution. Weigh the cost of the compensation up with the possible lost trade and bad pr that that disgruntled customer will spread.
Thank you. At the end of the day they are doing you and your company a favor for purchasing your product. Hope that they come back.
Remember that for every customer that complains there are nine other customers that do not complain and just keep it quiet and either never come back or will just spread the word.
Consider a complaint as both a service to your company and an opportunity. |

customer complaints should be handled by company policy. if there is no set policy try to resolve the problem if companies fault,if customers fault sympathize but tell them to hit the road but in a nicer fashion
if they are rude and jerky ...hang up on them close door in face tell them to get out or call the cops depending on situation
good luck customers complaints are usually from nasty people who just want some thing for free |

Be as friendly as you can.
Most people like relate-able people so sympathize whenever possible.
Tell stories that you have in common, to get them through the transition.
Try to be understanding, and once again, don't be afraid to be friendly. It's somewhat infectious Also, be polite, but don't be a pushover if some jerk comes along! They do once in a while! I remember!
I'm sure you do fine, considering the line of work you're in, so keep at it! ^_^b |
