1. Type out an agenda, which is just an outline of all the topics to be discussed at the meeting. It should include the time that the meeting starts, the time that the meeting ends, the topics to be discussed, and the allotted time for each topic.
2. Allot time for each agenda item so that the meeting gets out on time. If you need more time for one of the agenda topics, then schedule another meeting with the appropriate people.
3. Make sure everyone stays focused and if the meeting starts going off-topic, then steer the meeting towards the agenda item being discussed.
4. Make sure everyone has something to write with and something to write down notes in.
5. Create a presentation with visuals and/or handouts if your topic is technical or includes industry specific information- financial reports, technical drawings, etc....
6. Have something to drink and eat during the meeting so that its a positive experience-candy, drinks, granola bars, pastries (something easy to hold and not messy) |

Make sure there is reason to hold a meeting. Then have an agenda...and follow it.
Keep the meeting moving...cutting off people who are rattling on, talking off subject etc.
Control your own remarks!!! Say what you need to say in as few words as possible.
Don't allow rudeness and show respect...even if ideas sound dumb. Allow brainstorming when appropriate - without judging.
Let the participants know the agenda ahead of time and ask them to prepare. Let them know your expectations.
