Is it ok to scan important documents and shred originals?
I've just been given a good idea by someone who answered my question about having too much clutter - they said to scan my documents (bills, various letters and god knows what else, bank statements...) and shred the originals. Is this ok? If I'm ever asked to produce for example an original bank statement, will a scanned copy do?

It all depends on the document. The law is rapidly moving to make electronic images as valid as the originals but it all depends on each particular document and why you need it.

if you are asked for 'an origional bank statement', then a scanned copy will not be sufficient.

what is the point of scanning , and destroying org one, why dont you scan and store in pc, yes copies ok if just a bill.

In the UK, scanned copies are accepted as originals for invoices, statements, and anything related to a company administration with the exception of contracts (employment, customers, legal in general) and IR returns.

Carefull though, outside the UK some EU countries do accept it too, but a lot of them not.

I think it is ok, but there are certain things you will always need to have originals of - your birth certificate and tax returns, for example. One thing that always happens to me is as soon as I get rid of something, I need it, so choose what you shred wisely. :)

If you will be moving soon or have just moved, or are setting up new accounts somewhere, I would recommend that you save 3 months of paper copies of bills, invoices, and statements from any company you deal with. This is because you may be asked to provide proof of residency, relationship with a bank, etc. I just moved a few months ago, and I needed all kinds of stuff I never thought I would, especially old bills.

If you do scan everything and shred the originals, you can always print a copy of the scanned image. If someone wants an original bank statement or bill and all you have is the scanned one, then that's all you have - there isn't much that can be done besides calling the entity that sent you the original and asking if they can send another one. Probably you could get the printed copy notarized, and that might be sufficient. It's not like electronic document storage was invented this morning...companies have been using it for years, so it makes sense that they would give you a little slack if you don't have a paper copy of something.

Just remember - there are some things that you will need originals for. Good luck!

In some society's copy's are not good enough, and a computer can degrade, or destroy your information, Always back up your disc's and if you can build a Liberia of the original documents, hope fully you will never have to refer to it, but if someone Say's no thy did not say that! it would be handy to have the truth in there hand and not yours.

I dont think you should do it. nothing beats an original. How about once a year you just go through your stuff and throw away whats not needed. you usually dont need bank statements that are more than 2 years old.

I would not destroy original documents such as birth certificates, marriage licenses. I keep about two years worth of bank statements.

No. Anything electronic could be a fake (and so can a photocopy). So if the document's important as evidence of something, you need to keep the original, but it's a good idea to back it up with an electronic copy. I've had bad experiences with electronic storage anyway. Both my PC and my laptop hard drives crashed in the same week; and floppies, CD's etc quickly become outdated technology and can also get corrupted. Barring termites, floods and fire etc, paper documents actually survive longer. Museums have plenty which are a thousand years old.

UK tax authorities can ask you for evidence of your affairs going back 6 years. They would probably accept scanned bank statements - I run one of my bank accounts on line anyway and have no paper for it at all - but surely you'd have to be pretty dedicated, to scan everything if it comes in as paper! Wouldn't it be simpler just to drop it in a file and chuck it out eventually?

If you ever get audited by the IRS, original documents are best since it's so easy to "amend" electronic documents even if they are scanned. Bank statements are probably ok to scan since a lot of effort would have to be put in to change even one item on it. Also, if the IRS wanted to verify the information they could go directly to the bank.

However, if you're scanning mundane things, it should be ok.

Edit:
In response to DJ's answer, in the eyes of the IRS three years of records is best as long as your returns are filed on time. If you don't file you returns at all, then you should be keeping everything for the day they find out.
