First of all, your landlord is probably matter-of-fact when it comes to notifying you by letter. Be businesslike and professional. Most states require certain things in a repairs request letter, like the date, the exact address of residence, and the specific repairs needed. You MUST retain proof of receipt of your letter, for it to be enforceable in court if needed, so send it certified so you get a return receipt of it being signed for. Some states allow you to get 3 quotes for repairs and have them done yourself and just deduct the cost off of your rent--Check with YOUR state's laws on that. If you have any repairs needed that interfere with your basic living standards and health, like no heat, no water, electrical problems, black mold, etc, most states require those to be fixed within 72 hours or less. Again, check with your states Landlord-Tenant act.

Don't worry about it. It's their job to take care of things.
I once had a house I rented that had insufficient insulation and the pipes were frozen for a week. No showers. No water.
He didn't seem to think it was his problem.
Looking back I would have sent a letter in writing and called the health deptartment.
....and he didn't give me back my deposit. Made up some BS excuse that because a friend had moved out months ago we didn't give him thirty days notice before we moved out.
--Send the letter certified with return receipt and he'll really take notice. |

Well, remember it's his house/apartment, so you are doing him a favor by pointing out items that need repaired. Items that go un-repaired can turn into major headaches if NOT repaired.
So just say, "I feel it's my duty to point out that this item is need of repair and to leave it unchecked could cost you major bucks if not repaired early". Something like that. |

My mom has a lot of rental property... you need to keep something in mind: these rentals are an investment! Either for your landlord or your landlords boss. You're not being a burden by pointing out that these things need fixing, you're helping protect someones investment. They should appreciate that... unless you put your hand through the wall and you want them to fix it for you! that's a different request.
Try to keep the request informal... like "Hey when you get the time I've got a few things that need fixing. The are not interfering with my day to day, but they need some love"
Most of the time when you don't pressure people help easier. |

In the letter, let your landlord know that there are certain items which you felt should be brought to his attention. Just present what needs fixing, not how it has inconvienced you. Then ask whether you should have these items fixed and subtract the cost from your next month's rent, or whether he would prefer to arrange to have the items fixed himself. Be sure to keep a copy of the letter and send it by certified mail.
Owning rental property is a business - if you present the problems in a business-like way, you should hopefully get a reasonable response. |

The important thing here is to make sure that you send that letter Certified Mail with a Return Reciept Requested. That way, if the landlord fails to make the repairs, you can follow up in Court if you need to.
Simply state the repairs that you need as if you were writing out a repair order for a mechanic, and ask him to advise you of when he plans to complete them.
He'll need to enter your apt to assess the repairs, make sure you two set a date and time for his inspection, and PUT IT IN WRITING. |
