How to Call Back Clients regarding an Estimate you gave them?
I work for a Landscape Co. and get paid good commissions
if we get the jobs. I am in charge of following up with a customer who gave an estimate to... and they are suppost to"call back" but never do so I have to call them and see what they decided... What are good Negotiation Strategies?
Any way we can Make our Deal BEtter Than other Estimates in order to obtain Job?
Example...
We go do an estimate for Lawn & Sprinklers... Let say the job was 3,000 But they also get a few more estimates... and we know this... So we give pretty good prices

So after the Estimate Many Clients will say... "Ok I have to talk about it with my Wife or Neighbor or whatever, we will call you later"
THEN....A few days go by.. and No call.
Soooo I call them to say what they decided... Whats a good way to call them.... Things to say...?"what did You think of our deal?" What can we "throw in" to make the deal sounds better? Please ONLY ANSWER IF YOU ARE A PROFESSIONAL WITH AN INTELLIGENT OPINION.

Well, I am not a professional, (sorry to break the rules...), but I take a lot of calls from people in our business following up on projects...

Almost 99% of them call to say they are "following up on a bid" and was wondering what our status was. If we have chosen not to go with them, they will ask what they could have done to secure the bid, or if we haven't yet signed a contract, they will ask is there anything that they can do to help make our decision easier.

You don't want to sound like you are begging for the job, that is a turn off to professionals...they will get rid of you pretty quick....

Tell them that you routinely follow up after giving estimates to see if they have had a chance to review it and if they have any questions..

I would first tell them you feel their pain in trying to decide on a reputable firm to work on their precious homestead. Then ask them what is the most important part of the job to them...is it price? is it getting the job done on time? is it using the least intrusive methods to accomplish the work? Once you find their hot spot, it is easy to out-sell the other people if you know that. Cut the price, or guarantee on time with some money back if not done, or only work on the project when they are gone. Be creative. That's why you are on commission, so you can be as creative as you need to be to get the job. Then, of course, your company has to live up to the deal, or you will be toast when the word gets around. A lot of good answers from the others.

I do freelance graphic and audio design work. Once I've submitted a bid, I will usually call back two to three days later.

I generally simply say that it is my policy to follow up, and I agree with someone else above, that it is a good idea to gently ask, if they are still considering, what the most important aspects of the decision are to them. This gives me an idea as to how to possibly sweeten the deal.

If they are still talking with me at this point, I figure it's safe to say something like "I understand you have had others bidders, and of course it is your decision to make. If you choose another supplier, I understand, but please keep me in mind for future jobs..." Then, and I think this is important, say something like "Whether you decide to go with me or not, I wish you well on your project..."

You know everyone likes that sort of politeness, as long as it is given in a sincere fashion.

I had a carpet cleaning client once that had a very similar problem. It's amazing how universal the "have to run it by my wife" excuse is when it comes to free estimates"

I don't know how much this will work for you, not being the owner but we attacked the problem two ways.

1. My boss authorized me to offer 30% off first service to any call-backs I signed up today. He says after you've used us once we wont have to worry about you going to a competitor.

2. I understand that you are still collecting bids, and I don't blame you - if you didn't shop around you'd be foolish, I just wanted to call and give you some advice on what to ask or look for. If you pick someone that doesn't know what they are doing they can do serious damage to your lawn - if that happens we will have to charge you more to come in and fix it and I always do everything in my power to avoid having to quote a second higher price. Take it from there using examples that your company adheres to that your competitors dont.

How about saying something like, "Hello, Mr. Smith? This is The Grinchness from ABC Landscaping. We gave you a bid on your new sprinkler system last week. I was just following up to see if you've had a chance to think about it, or if you have any other questions. Is there anything else I can help you with?"

Mr. Smith will either say, "Go ahead and sign me up - when can you start?" Or, "Well, we decided not to do the project (or to go with another company, or whatever)." Then you could say, "Is there anything we can do to persuade you to change your mind and choose us? Right now, we are offering a $200 discount (or a 10% rebate at the completion of the job, or whatever other kind of perk you can think of) to anyone who places a down payment on their project within 10 days of receiving a bid!"

If they still say "No," then you can say, "So that we can serve you better in the future, can you tell me what made you choose XYZ company instead of us?" That will at least give you an idea about what you need to work on in order to get future sales.

I can only answer as a consumer and estimate receiver - I wouldn't mind a call back from any company if it were NOT presented as an aggressive sales call, but a friendly call to answer any questions I might have on the estimate or if I'd thought of any thing else that might need to be included.

I don't think I'd fall for things "thrown in" to sweeten the deal and I'd wonder why that wasn't the offer in the first place. If I'd already chosen another vendor, I'd let them know and I'd resent it if they asked me why I chose another or any other specifics about the contract.

And sometimes, I just take a long time to make up my mind.... so a friendly call at least puts the decision back in the forefront (and makes me think, "gee, those guys are really friendly!") =)
